Client Operations Specialist

Position Overview
We are seeking a skilled and detail-oriented Client Operations Specialist to join our team at a leading registered investment advisor. This role ensures the seamless processing of all cash transactions, execution of account maintenance requests, and completion of diverse administrative duties. The ideal candidate will demonstrate a commitment to accuracy, efficiency, and superior client service while supporting the firm’s operational and financial objectives.

 

Key Responsibilities

  • Cash Transaction Processing: Manage and reconcile all cash inflows and outflows, including contributions, distributions, and tax payments, ensuring accuracy and compliance with internal policies.
  • Account Maintenance: Handle account setup, update, and closure requests, maintaining accurate records and ensuring all adjustments are processed promptly and in line with regulatory guidelines.
  • Administrative Support: Provide essential administrative support to the operations team, including documentation management, data entry, and maintaining client files.
  • Compliance Adherence: Follow regulatory requirements and internal controls related to cash management, account updates, and administrative tasks, ensuring processes meet industry standards.
  • Client Service Coordination: Collaborate with team members and custodians to address client inquiries and deliver exceptional service.

 

Required Qualifications

  • Bachelor’s degree, preferably in in Finance, Accounting, Business Administration, or a related field.
  • Minimum of 2-3 years of experience in client operations, cash management, or account maintenance within an investment advisory or financial services setting.
  • Familiarity with custodial platforms and account management systems.
  • Strong knowledge of financial operations, including cash flow procedures and regulatory compliance.
  • Excellent organizational skills and keen attention to detail.
  • Ability to manage multiple tasks and meet deadlines in a dynamic environment.
  • Strong communication skills, both verbal and written, with a client-oriented mindset.

 

Preferred Skills and Experience

  • Experience working in a registered investment advisor firm or similar financial institution.
  • Proficiency in portfolio management systems, such as Tamarac, Envestnet, or Orion.
  • Knowledge of industry regulations, including SEC guidelines and standards.
  • Problem-solving mindset and the ability to implement process improvements effectively.
