Assistant Portfolio Administrator

Howland Capital Management LLC is a fast-growing $2+ billion investment management firm that is selectively seeking to add an Assistant Portfolio Administrator to join our team. Client service functions:
•	Work with a team of portfolio administrators and investment management professionals to provide administrative support in order to meet manager’s and clients’ day to day service needs
•	Interact with qualified custodian to facilitate client requests
•	Assist with creation of client meeting packages utilizing client information using various systems resources
•	Assist with opening and distributing daily mail
•	Processing cash and security related requests for clients
•	Assist as needed with assorted other projects within the investment management group

Requirements:
•	Ability to prioritize and manage multiple tasks while maintaining a high level of detail
•	Strong written and verbal communication skills
•	Proficiency in MS Word, Excel, and PowerPoint
•	College degree required
•	2-5 years of relevant client service experience
•	Must be a team player

Operations Specialist

Howland Capital Management is seeking an individual for our investment operations department.  The preferred candidate will be an exceptionally detail-oriented, energetic self-starter who can work in a group setting, as well as independently.  You will possess excellent analytical and problem solving skills as well as the ability to think creatively and shift gears in a fast paced demanding environment.  The ability to collaborate as a team player and see “the big picture” is a must. 

Responsibilities will include general security processing routines such as:
•	Daily cash and security reconciliation, researching any discrepancies between HCM and custodian
•	Asset transfer processing and reconciliation, mutual fund class review
•	Set up new securities on our systems, ensuring proper categorization and prices are applied
•	Promissory Note review, setup, amortization table setup, provide posting instructions to custodian as well as refinance calculations
•	Tax Payment Processing – Balance Due, Estimated Payments, and Tax Preparation Fees
•	Trustee Fee Processing
•	Corporate action review and response
•	Unique Asset Processing/Pricing/Recon of custodial transaction postings – Private Investments and Closely Held Securities
•	Trade order entry and the settlement of equity, fixed income and mutual fund securities 
•	Assisting in establishing and maintaining departmental policies and procedures  
•	Reconciliation of gain/loss reporting
•	Run performance and investment reports for investment managers, as needed as well as reviewing variances
•	Maintain working relationships with other internal groups including Client Service teams and Investment Managers to troubleshoot and resolve issues in client accounts
•	Other responsibilities as determined by the group manager
•	Perform special projects as needed  

This is a temporary to permanent position.  For the successful candidate, the employment status will change from a temporary status to permanent status in no less than 60 days and no more than 90 days from the date of hire.  Once the candidate has been offered permanent status they will be entitled to the benefits outlined below.

Desired Skills and Experience: 
•	College degree (preferably in Business/Finance/Accounting). Recent college graduate will be considered.
•	An understanding of (or a desire to understand) portfolio accounting & investment process.
•	Interest and desire to understand technology related issues, tasks and responsibilities. Participate on technology initiatives.
•	Computer literate; Strong Microsoft Office skills, experience learning new database systems.  Interest in writing excel macros.
•	Excellent attention to detail a must.
•	Problem solving and analytical skills. Must trouble shoot one-off problems and investigate issues using non-standard sources and procedures.
•	Willingness to learn about investment management from the operational level and apply that knowledge daily. Familiarity with characteristics of municipal bonds, corporate bonds, and mortgage backed securities and equities a plus.
•	Engaged, motivated, inquisitive, accountable, service oriented team player.
•	Ability to prioritize responsibilities and multi task to ensure completion of work and resolution of day to day issues within the established timeframes.

Trust Officer

This position provides trust and estate support to the portfolio managers, administrators, tax group and clients. The Trust Officer is responsible for maintenance/review of client trusts, estate planning and settlement. This role requires interaction with all departments and levels of management and represents the firm in the T&E community and developing new business.

Essential Functions: 
•	Create plans to minimize the impact of estate taxes based on individual client circumstances
•	Bring clarity to complex transfer tax laws, explaining options to enable informed decisions
•	Coordinate with family legal advisors to ensure documents are aligned with client strategies 
•	Manage the probate account/process
•	Coordinate and monitor trust/estate account openings and terminations
•	Administer all trust re-registrations 
•	Manage discretionary distributions made by in-house trustees
•	Coordinate administration of estate settlements with managers and outside counsel/CPA’s
•	Collaborate with tax department to determine tax responsibility for trust/estate accounts and ensure timely filings
•	Provide trust/estate analysis as requested by managers
•	Consult on trust/estate questions or issues as requested by managers
•	Provide oversight of trigger date/event completion
•	Review internal trustee list
•	Upkeep and creation of trust/estate policies and procedures

Qualifications: 
•	Bachelor’s degree and a minimum of 5 years of experience 
•	CTFA or equivalent at a minimum
•	Excellent phone presence, verbal and written skills are required
•	Able to work under tight deadlines and multitask 
•	Ability to work independently and collaboratively 
•	Demonstrates organizational skills with great attention to detail 
•	High energy individual with flexibility and ability to respond skillfully under pressure
•	Proficiency in MS Office products is required (Word, Outlook, Excel)
•	Prior experience the following areas is required: Finance services firm, extensive knowledge of probate and trust codes/regulations, experience settling estates


Other Duties: 
•	Howland Capital will train the right candidate on all of our software systems, however experience with any of the following is a plus:  Tamarac, Microsoft Dynamics CRM
•	Assist with special projects as directed 
•	This role requires being computer savvy and the ability to work with multiple system vendors
•	Attend seminars and webinars for continuing education
